- We come to visit you, find out all about your institution and have a discussion with you about how the campaign will fit in with your overall fundraising strategy – are there ways we can help you meet broader aims?
- We decide with you which groups of alumni on your database you wish to approach, discuss the likely number of people we will get through to, and decide a timescale for the campaign.
- We look at administrative issues like student recruitment, PDD and fulfilment and make sure we have enough time to get them working smoothly.
We get to work
- We take your data, clean it and match it for telephone numbers. We can wealth screen it for you, if you’d like us to.
- We write all the creative for you – telephone scripts, letters and donation forms
- We put together a training programme just for your students
- If we’re providing software and laptops for you, we make sure all the scripts and data are loaded into our systems and working correctly!
- If we’re working with a manual system, we make sure the call sheets show all the information you need your callers to see in a clear, easy format and in a way that’s easy to for data-entry.
We come onsite with you
- We set up the call room on your premises, make sure it’s fully equipped and that everything’s working smoothly
- We get everything going with a training weekend for your students. We get them working together as a team, and teach them all they need to know to be excellent callers. We do lots of role-plays!
- We help you deliver a briefing on the specifics of the campaign, on the first day of calling
We manage the calling for you
- We make sure everything’s working well – have we got the script right? Are we asking for the right amounts from your alumni? Any questions coming up that we hadn’t anticipated?
- We keep track of results through every calling session – how’s the average gift? Are we on track for contacts?
- We listen to your callers and give them coaching – who are the naturals, who needs some help?
- We make sure that warm leads for major gifts and legacy gifts are fed back to you immediately
- We make sure everything’s ready for fulfilment to be sent out the very next day
- We keep the atmosphere buoyant and happy in the call room – celebrating successes and making everyone proud to be part of the team
- We organise social events for the calling team as the campaign reaches key points
